ASSET MANAGEMENT

EQUIPMENT ACQUISITION AND DISPOSAL
REPLACEMENT MODELING
Selects and prioritizes equipment for replacement based on user-defined criteria, such as age, mileage, downtime, operating costs, condition, oil consumption, and availability of replacement funds.
LICENSE AND PERMIT TRACKING
Automatically notifies the appropriate users(s) or department contact(s) regarding licensing and permit requirements, including expirations. The system also includes features that support automated fleet registration programs.
EQUIPMENT AVAILABILITY AND TRACKING
Enables users to report on equipment needs and availability by class, department, and time-of-day and notifies users if work order and/or time-of-service limits have been exceeded.
WORK ORDER ADMINISTRATION
Enables users to generate and track preventive maintenance (PM) and corrective (or "emergency") maintenance work orders from the shop floor. Each work order can track multiple reasons for repair, multiple job types, job estimates, and unlimited technicians, labor charges, and parts. Users can even create work orders, apply charges, and close the work order from a single point of entry.
WARRANTY ADMINISTRATION
Supports a "multi-tiered" warranty hierarchy, enabling users to track equipment warranties by whole unit (chassis), component, and replacement parts. As work is performed, the system generates warnings to indicate "under warranty" conditions and prevent warranty violations.
All warranty-related repairs are tracked, and the warranty claims process is fully automated. The system tracks warranty claims submission and records reimbursement of in-house warranty work. The system also tracks warranty work performed by authorized OEM dealerships.
SHOP RESOURCE PLANNING
Enables users to track work order backlog, including past-due PM's and unplanned maintenance reported by operators or shop personnel. Shop managers can schedule all known work and plan labor and material requirements, which greatly reduces labor requirements and unit downtime.
The Shop Resource Planning module supports work request loading, prioritization of units and repair types by shop personnel, automatic priority adjustments for past-due repairs, and repetitive "what-if" scenarios for shop scheduling.
RECALL/CAMPAIGN MANAGEMENT
Aids in the administration of recall/campaign programs. The system automatically creates job packages and alerts users about pending recalls, campaigns, and modifications. Jobs created under the Recall/Campaign Management module can be defined by technical specification, year, make, model, VIN, class, or organization, and the system tracks all labor and materials expended.
BILLING
Allows your organization to define its fiscal calendar and billing cycle(s). Work orders can span fiscal years, enabling the current billing year to be closed, even if open work orders exist. The system also allows users to allocate funds and charge for fuel, capital equipment expenditures, maintenance services, commercial repairs, accident repairs, overhead, and daily rental fees. Available external billing interfaces enable integration with leading ERP and General Ledger (G/L) accounting systems.
LABOR & PERSONNEL MANAGEMENT
Records labor information for both in-house and outsourced work. The system is compatible with most major payroll systems, which eliminates redundant data entry. Key features of the system include the following:
PREVENTIVE MAINTENANCE FORECASTING
The Preventive Maintenance Forecasting system enables users to create virtually unlimited hierarchies of PM jobs for any class of vehicle or equipment. Key features of the system include the following:
PARTS INVENTORY CONTROL
The Parts Inventory Control module supports automatic parts ordering, calculation of inventory stock levels, warehouse to warehouse stock transfers, inventory reviews, and purchase order generation. The system also tracks cross-reference parts data, including part aliases and equivalent substitutes.
Physical inventory tracking accounts for all issues, receipts, and transfers, and the system supports periodic cycle counts. Integration with the optional AutoInput bar coding and remote processing solution can further improve efficiency and accountability.
PURCHASING
The Purchasing Control module enables users to effectively manage the procurement process. Key features of the system include the following:
COMMERCIAL REPAIR TRACKING
Commercial repair tracking documents the authorization of commercial (external or contracted) repair activities. The system tracks both dollar-level authorizations and repair descriptions, and commercial repairs can be analyzed by status history, which enables users to track repair progress and repair costs. The system also tracks unit downtime and warranty maintenance information relative to commercial repair activity.
FUEL AND FLUID MANAGEMENT
The Fuel and Fluid Management system tracks virtually any product that can be metered and/or pulsed. Fuel and fluid data can readily be interfaced to most commercial fuel management and dispensing systems. Key features of the system include the following:
ACCIDENT TRACKING
The system tracks accident incident information and all repair, rental car, and miscellaneous costs associated with a given accident. Optionally, the system can automatically prompt for an accident claim number in cases where repairs are processed internally. Other key features of the system include the following:
MOTOR POOL MANAGEMENT
Manage all activity related to the operation of a rental fleet, including unit availability, processing unit reservations, generating unit check-out tickets, processing unit returns (meter readings and additional charges), completion of the motor pool ticket, and transaction close-out. Bills for rental transactions are automatically generated during the next billing report cycle.
